About the Role:
We are seeking a dynamic and organized Chief of Staff to work closely with the CEO of our organization. This role is ideal for someone with a passion for science, health, and entrepreneurship.
As a key partner to the CEO, you will ensure operational excellence, support strategic initiatives, and contribute to the organization's growth. You'll have a background in executive or personal assistance, with experience in scheduling, office management, and administrative tasks.
Key Responsibilities
- Strategic and Operational Support:
- Act as a trusted advisor to the CEO by managing their priorities, optimizing workflows, and enhancing decision-making processes.
- Prepare and refine presentations, reports, and documentation for internal and external audiences.
- Organize and manage strategic projects, ensuring deadlines and quality standards are met.
- Executive Assistance:
- Oversee the CEO's calendar, schedule meetings, and manage travel arrangements with precision.
- Handle correspondence on behalf of the CEO, ensuring a professional tone and timely responses.
- Record and disseminate meeting minutes, following up on action points as required.
- Office and Team Coordination:
- Manage day-to-day office operations, including vendor coordination, supply ordering, and resolving facility-related issues.
- Serve as a liaison between the CEO and internal teams or external stakeholders, fostering clear and effective communication.
- Support team events, retreats, and meetings by managing logistics and execution.
- Leadership Enablement:
- Provide proactive and structured support to improve team efficiency and alignment with organizational goals.
- Develop briefing materials and agendas to ensure the CEO and leadership team are well-prepared for engagements.
- Culture and Mission Alignment:
- Embody and promote the company's values and mission, contributing to a collaborative and innovative culture.
Requirements:
- 5+ years of experience in a similar role, such as Executive or Personal Assistant, or Office Manager, preferably in fast-paced or startup environments.
- Strong interest in science, health, and entrepreneurship, with the ability to grasp the nuances of the company's mission.
- Exceptional organizational and multitasking skills with keen attention to detail.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Bilingual proficiency in English and French;
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal and communication skills, adaptable to working with diverse teams.
