Description du poste
As an Executive Assistant, you will provide high-level administrative support to our senior executives, ensuring the smooth and efficient operation of their schedules and tasks. This role requires an immediate start and a commitment for a minimum of three months, with the possibility of extension depending on the needs of the business.
Key Responsibilities:
Administrative Support:- Manage executive calendars, schedule appointments, and coordinate meetings.
- Handle travel arrangements, including flights, accommodations, and itineraries.
- Prepare, process, and track expense reports.
Meeting Coordination:- Organize and prepare materials for meetings, including agendas, presentations, and minutes.
- Ensure meeting rooms and technology setups are ready and functional.
- Follow up on action items and ensure timely completion.
Communication Management:- Act as a point of contact for internal and external stakeholders.
- Handle incoming and outgoing correspondence, including emails and phone calls.
- Draft and review correspondence, reports, and presentations.
Project Support:- Assist in the coordination of projects and initiatives as needed.
- Maintain project documentation and track progress.
- Provide logistical support for events and special projects.
Office Management:- Maintain office supplies and equipment for the executive team.
- Assist with the organization of company events and meetings.
- Ensure smooth day-to-day operations within the executive office.
Description du profil
Experience:- Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably within the FMCG industry or a fast-paced environment.
- Proven track record of supporting senior executives and managing complex schedules and tasks.
Skills:- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to multitask and prioritize effectively under pressure.
- High level of discretion and confidentiality.
Personal Attributes:- Proactive, with a strong attention to detail.
- Professional demeanor and positive attitude.
- Ability to work independently and as part of a team.
- Flexibility and adaptability to changing priorities.
Language Skills:- Fluency in English and French is required.
